Which Microsoft 365 Plan Is Right for Your Business?

If all you needed was to compare Microsoft 365 plans, you could find about a dozen blogs and guides that do so. That’s not why we’re here. We understand that business leaders need more than just a comparison matrix, and that the real pain point isn’t just which plan.

Here’s what we hear from businesses:

  • There are too many plans with names that sound almost identical (“Basic,” “Standard,” “E1,” “E3,” “E5”?). Keeping them straight can feel like a hurdle in itself.
  • You can find a matrix of features and capabilities on Microsoft’s website, but do those lists actually help you decide which plan is right for your business needs?
  • Understanding which plans include fully installed Office desktop apps and which include only browser-based versions can be confusing. Then, accidentally purchasing the wrong plan can limit your capabilities.
  • Security features aren’t front of mind…until you desperately need them. At first glance, plans like the Business Standard and Business Premium look similar. The difference lies, though, in security, device management, and control.
  • The Business vs Enterprise boundary can be misunderstood, and you actually don’t need to be a large company to benefit from the Enterprise plan. In fact, some smaller companies may prefer Enterprise plans because of features like Active Directory Integration, larger storage capacity, and enhanced security tools.
The truth is that most businesses end up on whatever plan their IT provider quotes by default. In our experience, that’s usually Business Standard — not because it’s always the right fit, but because it’s a safe middle option. It’s easy to quote, easy to explain, and rarely wrong enough to cause an immediate problem. But “rarely wrong” isn’t the same as right.

Start with How Your Team Works

The real issue we tend to find isn’t any one plan. It’s the habit of skipping the questions that matter to your decision-making process and trying to reverse-engineer what you need from a features matrix alone. Organizations on government or education tenants, for example, can’t always upgrade plans the way a typical business can. That’s the kind of asterisk that changes the whole conversation, not one to put off until later.

F1 vs. F3 — The Short Version

If your frontline workers only need to communicate, view documents, and stay secure — F1 can be a great starting point at a low cost. If they need to edit documents, automate workflows, or operate from shared kiosk-style devices, F3 gives you those tools without moving to a full business plan.

Small to Mid-Size Business Plans

Built for organizations with up to 300 users who need productivity tools, business email, and varying levels of security.

M365 Business Basic

Web-based Office apps, business email, Teams, and 1 TB cloud storage.

BEST FIT FOR

Teams that primarily work in a browser — needing email, Teams, and cloud storage but not Office installed on their computers.

Not Sure Which SMB Tier to Choose?

Start with two questions: Do your employees need Office apps installed on their computers? If yes, you need at least Business Standard. Then ask: Do you have security, compliance, or device management concerns? If yes, Business Premium closes those gaps without jumping to an Enterprise plan.

Note: all SMB plans cap at 300 users. If you’re approaching that, it’s worth planning ahead for Enterprise.

  • Power BI Pro and Microsoft Teams Phone included

E3 vs. E5 — The Decision That Matters Most

The ~$21/user/month difference between E3 and E5 often pays for itself. E5 replaces or consolidates tools many enterprises already pay for separately — a SIEM, a CASB, advanced identity protection, Power BI Pro licenses, and a calling solution. Before ruling out E5 on cost, audit your current security and analytics spend. Many organizations find E5 reduces net cost while significantly strengthening their security posture.

Use it as a gut check, a conversation starter with your team, or something to share with whoever is making the final call.

One thing worth noting: no guide can replace knowing your environment. Your existing contracts, your compliance requirements, your growth plans, how your team actually uses technology…all of those details change the answer. What this does is get you close enough to have a more informed conversation.

The mistake we see most often isn’t choosing the wrong plan on day one. It’s staying on the wrong plan too long because nobody stopped to ask whether it still fits.
